MS Office is the most popular office software package, and it is a favourite topic in the computer section of SSC exams. Questions are asked on the parts of the window, file extensions, Excel functions, error values, PowerPoint views and basic features. These MS Office notes explain MS Word, MS Excel, MS PowerPoint, MS Access and MS Outlook in a simple, exam-oriented way.
Introduction to MS Office
- MS Office is a suite of application software developed by Microsoft.
- Main programs: Word (word processing), Excel (spreadsheet), PowerPoint (presentation), Access (database), Outlook (email and calendar), Publisher (desktop publishing) and OneNote (note taking).
- Common parts of the window: Title bar, Quick Access Toolbar, Ribbon (tabs and groups), Ruler, Scroll bars and Status bar.
- The Ribbon replaced the old menus and toolbars from MS Office 2007.
MS Word
Basics
- MS Word is a word processor used to create letters, reports and documents. The default file extension is .docx (older versions used .doc). A template has the extension .dotx.
- Main tabs: File, Home, Insert, Design, Layout, References, Mailings, Review and View.
- Views: Print Layout, Read Mode, Web Layout, Outline and Draft.
- Page orientation: Portrait (vertical) and Landscape (horizontal). Margins are the blank space around the text.
- Header and Footer appear at the top and bottom of each page. Page Number, date and time can be inserted there.

MS Excel
Basics
- MS Excel is a spreadsheet program used for calculations, data analysis and charts. The default file extension is .xlsx (older versions .xls). A file is called a workbook and each page in it is a worksheet.
- A worksheet has rows (numbers) and columns (letters). In Excel 2007 and later, it has 1,048,576 rows and 16,384 columns (A to XFD).
- The intersection of a row and a column is a cell. The cell address is column letter + row number, such as B5. The selected cell is the active cell.
- The Name Box shows the address of the active cell, and the Formula Bar shows its contents.
- A range is a group of cells, written like A1:B5. Every formula starts with the equal sign (=).

| LEFT / RIGHT / MID | Extracts characters from a text |
| UPPER / LOWER / PROPER | Changes the case of text |
| CONCATENATE | Joins text from different cells |
| TODAY / NOW | Current date / current date and time |
| ROUND | Rounds a number to the given digits |
Error Values

| #### | The column is too narrow to show the value |
Other Excel Features
- Sort and Filter arrange and show selected data. Freeze Panes keeps rows or columns visible while scrolling.
- Conditional Formatting changes the look of a cell based on its value. Data Validation controls what can be typed in a cell.
- Charts: column, bar, line, pie, scatter and area. A pivot table summarises large data quickly.
- The AutoFill handle is the small square at the bottom-right corner of the active cell.
MS PowerPoint
- MS PowerPoint is a presentation program. The default extension is .pptx (older .ppt), a slide show file is .ppsx and a template is .potx.
- A presentation is made of slides. The slide layout decides the arrangement of titles, text and pictures. The Slide Master controls the design of all slides.
- Views: Normal, Slide Sorter, Notes Page, Reading View and Slide Show.
- Transitions control how one slide changes to the next, while Animations control the movement of objects on a slide.
- Notes are written below the slide for the speaker and are not shown during the presentation.
- Slide shows start with F5 (from the first slide) or Shift + F5 (from the current slide).
MS Access and MS Outlook
- MS Access is a database program with extension .accdb. Its main objects are Tables (store data), Queries (search data), Forms (enter data) and Reports (print data).
- MS Outlook manages email, contacts, calendar and tasks. Mail folders include Inbox, Outbox, Sent Items, Drafts and Deleted Items.
